Documentation Chapter 6:
Accessing Subfolders and Other Mailstores

Normally, Outlook stores new (incoming) mail into a folder named "Inbox". When you connect to GoPOP to read your Outlook mail, GoPOP will serve up the messages which are in your Inbox folder. This is what happens when you configure your remote mail client to send the username and password (or APOP secret) which you configured in the GoPOP Tools / Options window.

However, you can configure GoPOP and your remail mail client so that you can read messages in any other folder besides your Inbox! To do this, configure your remote mail client with a username in the form of "/Inbox/subfolder". For example, if you have a folder named "Letters" under your Inbox folder, then configure your remote mail client to connect with the username "/Inbox/Letters". (This is not case-sensitive.)

Finally, you must also configure GoPOP to allow opening folders other than your Inbox. To do so, open GoPOP's Tools menu and choose the Options menu item. Make sure the checkbox labelled "Other folders can be opened if provided as Username" is checked.

Here are some examples of how you can use this feature of GoPOP to view other folders:

  • To view previously deleted messages, configure your remote mail client with a username of "/Deleted Items".
  • To view a folder named "Letters" which is under the Inbox folder, configure your remote mail client with a username of "/Inbox/Letters".
  • To view a folder named "Letters" which is at the same level as the Inbox folder, configure your remote mail client with a username of "/Letters".
  • To view a folder named "Maximized Software" which is under a folder named "Companies" which is under the Inbox folder, configure your remote mail client with a username of "/Inbox/Companies/Maximized Software".
  • To view previously sent messages, configure your remote mail client with a username of "/Sent Items".
  • To view previously deleted messages, configure your remote mail client with a username of "/Deleted Items".
  • To see if Outlook contains any unsent messages, configure your remote mail client with a username of "/Outbox".
Please note that you can only open folders containing mail items. You cannot open your Calendar, Contacts, Journal, Notes, or Tasks folder.

Maintaining multiple accounts

If you regularly check the contents of several different folders using the technique described above, you may want to configure your remote mail client with several different "accounts" or "profiles". Each profile would use a different username to retrieve the contents of a different Outlook folder.

Opening another Inbox or mailstore

Most people use Outlook to connect to their personal email, or to their company's Exchange server. For these standard uses, Outlook and GoPOP will work fine. As described above, GoPOP will normally show the messages in your Inbox, and you can use the "/FolderName" format to open other folders.

However, some people use multiple "mailstores." For example, you may connect to your corporate Exchange server to pick up your mail; that's one mailstore. You may also have some "personal folders" containing personal email, personal contacts, personal tasks, and so on; that's a second mailstore. Outlook can easily support multiple mailstores, and GoPOP can also be used to open any folder within any mailstore.

To see if you have multiple mailstores defined in Outlook, open Outlook's View menu, and make sure that the Folder List menu option is selected. This will show you the tree of folders in the left-hand side of the Outlook window. At the top of the folder tree you'll probably see an entry like "Outlook Today - [Personal Folders]". This is the root entry for your "Personal Folders" mailstore. The name of the mailstore is provided in [brackets]. You can right-click on this top-level node and choose the Properties menu command; the resulting window will show you the name of the mailstore.

If you have multiple mailstores, GoPOP will use the "default" mailstore unless told to do otherwise. The "default" mailstore is the mailstore containing your default Inbox. For example, if you have both an Exchange mailbox (mailstore) and a set of personal folders, then your Exchange mailbox is probably your default mailstore. Please note that in this case, GoPOP will retrieve messages in your default Inbox if you connect in any of the following two ways:

• With the Username configured in GoPOP's Tools / Options window.
• With the Username "/Inbox".

To open a folder within a different mailstore, use the "/Foldername" format described above, but prefix it with "//MailstoreName". For example, to open the Inbox in your personal folders, you could provide the username "//Personal Folders/Inbox".

If you have two mailstores and provide a username of "/Inbox/Letters" then GoPOP will try to open a folder named "Letters" under the Inbox of your default mailstore. To open a similar folder in a different mailstore, provide a username like "//Personal Folders/Inbox/Letters".
